New Reports Available for LTI Libraries That Record "Alternate Graphic Representation" Data in 880 fields of Bib Records.

Mar. 22, 2007

LTI has enhanced its authority control processing for any LTI library which records "alternate graphic representation" data in 880 fields of bibliographic records. If a library chooses this option, it will receive new reports -- both in AUP runs and in regular Authority Express (AEX) processing.

Two new reports are available. The report with the filename "...880chg.acr" contains a list showing controlled headings with $6 that were changed during processing. The report may be used by library staff to make needed edits to the corresponding 880 fields.

Data shown on this report will be:

BIB ID#
"old" -- tag and content of controlled heading field before update
"new" --tag and content of revised controlled heading field
"880" --content of the linked 880 field that may require local revision

A second report, with the filename "...880err.acr", contains a list showing:

BIB ID#
tag and content of controlled heading field with $6
tag and content of linked 880 field
brief explanation of error found

The "...880chg.acr" report does not cumulate; each change is shown when it happens but is not be repeated in subsequent reports. The "...880err.acr" report continues to list errors until they no longer exist in the copy of the database maintained at LTI, i.e. unless the base file is replaced, even if the library makes those corrections locally.

Receipt of these 880 reports is controlled by the library's profile. There is no charge to receive the reports, although the service is available only to libraries using AEX or receiving bib records back from AUP. If you wish to change the library's profile to receive one or both of these new reports, please contact Marsha Hunt at LTI.
